Sound familiar?

The challenges every bookkeeper faces in 2026.

AI is reshaping the profession. The bookkeepers and firms that adapt will thrive. The ones that don't risk falling behind.

Which AI tool should a small firm start with?

Hundreds of AI bookkeeping tools launch every month. You know you should adopt something, but the options are overwhelming and it is genuinely hard to tell which ones work at your firm's size. What you need is the one thing that makes a difference immediately.

How do I use AI to expand capacity?

Your clients are reading about AI bookkeeping everywhere. They expect faster turnarounds, real-time insight and proactive advice. With the same team and the same processes, you cannot deliver more without burning out. The question is not whether to adopt AI, it is which work it should take off your plate first.

Manual work is eating your margins

Data entry, bank reconciliation, chasing receipts, sending reminders. You and your team spend hours a week on tasks AI could handle, leaving little time for the advisory work that actually grows the practice.

Will AI replace bookkeepers?

AI replaces tasks, not people — but only for bookkeepers who learn to supervise it. Firms that work with AI become more valuable to their clients. Firms that ignore it risk losing those clients to firms that didn't.

The work you'd have learned on is the work AI now does

If you are employed rather than running the firm, this is the real worry, and it is a fair one. The reps that used to turn a junior into a senior are the exact tasks getting automated first. The skill that still pays is knowing when the number is wrong even though it looks right, and that one is learnable on purpose.

You don't need to become a tech expert. You just need the right guide.

GuideOnce gives bookkeepers and firm owners the AI literacy, the practical tools and the hands-on training to confidently run a modern practice.

What firms see

What changes once a firm actually adopts AI.

80%
Reduction in manual data entry
12–20
Hours saved per employee, per week
96%
AI auto-categorization accuracy, and improving
Increase in advisory revenue potential

Figures are typical ranges, aggregated from MATAX, Inc.'s own practice and from client firms that shared their numbers. What any one firm sees depends on its size, its tool stack and how much of the workflow it actually automates.

How it works

From AI curious to AI confident.

A four-step approach that takes you from "I should probably learn this" to confidently running an AI-enhanced practice.

1

Set the rules first

Before anyone touches a client file: what goes into a model, what never does, and how you document it. It starts with a questionnaire built for your practice, so the rules fit the work you actually do.

Govern
2

Learn the fundamentals

Through live sessions and hands-on work you learn which AI tools solve real problems, how to evaluate them, and what to watch for.

Learn
3

Build and implement

Set up your first workflows with guidance: automated categorisation, smart reconciliation, client onboarding. You learn by doing, on your own files.

Build
4

Document and organize

Write down what you built so it survives you being on holiday. A workflow only one person understands is not capacity, it is a single point of failure.

Document

Typically about a week per step, depending on how much time you put into it. The sequence is the same whether you are a solo bookkeeper or a ten-person firm.

Training programs

Programs designed for busy bookkeepers.

Start free, go as deep as you want. Every program runs live on Google Meet in cohorts of ten or fewer, in sessions of five to sixty minutes with work to do in between.

Why GuideOnce

Built by bookkeepers, for bookkeepers.

Decades of experience across accounting, business management, technology and automation. We understand your world because we work in it.

No jargon, just clarity

AI explained in plain language. You will understand what matters without needing a computer science degree, and without anyone hand-waving the hard parts.

Tailored to your practice

We start by talking through how your practice is actually set up, what is eating the most time, and where you and your staff currently sit with AI. The program is then modified to match. Not a course you watch, a program shaped around the work in front of you.

Taught by a practitioner, and proven

Every session is led by Dawn Hatch, who has worked in accounting since 2000 and still runs a practice. Not theory from someone who left the profession: methods that have been recognised and awarded for the impact they had on real firms.

Practical, not theoretical

Every session includes hands-on exercises using real bookkeeping scenarios. You leave with something working, not notes about something that might work.

Backed by MATAX

GuideOnce is powered by MATAX, Inc., a San Francisco firm formalized in 2006 that has served 1000+ SMBs and startups. Xero Advisory Innovator in 2025 and 2026, and AI Efficiency Champion at the Xero Awards 2026 US.

Questions

Straight answers, before you book.

Do I need a technical background to join?

No. GuideOnce is designed for bookkeeping professionals with no technical or AI background. We start with the basics and build from there. If you can use Xero or QuickBooks, you can learn AI with us.

Which AI tools does GuideOnce teach?

We teach the tools most relevant to a bookkeeping practice: AI-powered categorisation engines, automated reconciliation tools, the no-code automation platforms Make and Zapier, and the AI features built into Xero, QuickBooks Online, A2X and Dext. The focus is on applying them to real client work, not feature tours.

Is client data safe when I use AI in bookkeeping?

Yes, when proper governance, guardrails, oversight and review are in place. That is why governance is step one of every GuideOnce program rather than an afterthought. We cover four things specifically: what client data must never be pasted into a public AI model; how to set retention and model-training controls so your inputs are not used to train someone else's system; how to document your AI use so a client engagement stays defensible; and how to review AI output before it reaches a client, so a confident wrong answer never gets through.

Will AI replace my bookkeeping business?

AI replaces tasks, not people. The bookkeepers who do well from here are the ones who learn to supervise it rather than compete with it. Automating the repetitive work frees time for advisory, client relationships and the judgement calls AI cannot make. GuideOnce trains you to be the person directing the AI, not the person replaced by it.

How much do GuideOnce programs cost?

Programs start at $750 and are scoped to your firm's size and complexity, so the final figure depends on what you actually need. The Focus Fridays community and the introductory workshop are free. Ask on a discovery call and you will get a number, not a brochure.

How are the training sessions delivered?

All sessions are live and online, so you can join from anywhere. We run structured training series, hands-on workshops and weekly community drop-ins called Focus Fridays. Every session is recorded for anyone who cannot attend live, and you get access to the private community for ongoing support.

I'm a solo bookkeeper. Is this relevant for me?

Yes, and solo bookkeepers often see the biggest impact. When you are the only person doing everything, the time you save goes straight to your bottom line. Automating even a few hours of manual work each week changes both your capacity and your quality of life.

What is the connection between GuideOnce and MATAX?

MATAX has served over 1000 SMBs and startups. It was named Xero Advisory Innovator in both 2025 and 2026, and AI Efficiency Champion at the Xero Awards 2026 US.
